Voicemail to Email
Every voicemail delivered straight to your inbox as an audio attachment. Listen from anywhere.
What Is Voicemail to Email?
Voicemail to Email automatically forwards every new voicemail message to your email address as an audio file attachment. Instead of dialing in to check your voicemail, you can listen to messages right from your email inbox — on your computer, tablet, or smartphone.
On-VoIP includes voicemail to email with every plan. It works immediately after setup with no extra cost.
How It Works
When someone leaves you a voicemail:
- The message is recorded and stored on the On-VoIP voicemail server
- An email is sent to your configured address within seconds
- The email includes the audio file (WAV format) as an attachment
- Caller ID, call time, and message duration are included in the email body
You can configure multiple email addresses to receive voicemail notifications — useful for teams where several people need to monitor a shared voicemail box.
Setting Up Voicemail to Email
Setup is straightforward:
- Log in to the On-VoIP customer portal
- Navigate to Voicemail settings for your extension
- Enable "Send voicemail to email"
- Enter one or more email addresses
- Choose whether to keep or delete the voicemail after emailing
You can also set separate greetings for busy vs. unavailable states, and configure how many rings before the call goes to voicemail.
Shared Voicemail Boxes
On-VoIP Business plans support shared voicemail boxes for departments. For example, a "Sales" voicemail can send messages to every member of the sales team. Combined with ring groups, you can ensure calls ring the team first and, if missed, the voicemail goes to everyone via email.
Benefits Over Traditional Voicemail
Traditional voicemail requires you to call in, enter a PIN, and listen to messages sequentially. Voicemail to email improves on this in every way:
- Instant access: Messages appear in your inbox within seconds
- Listen anywhere: Play the audio file on any device that reads email
- Searchable: Email metadata makes it easy to find a specific message
- Shareable: Forward the email (and audio) to a colleague
- Archivable: Messages are backed up in your email, not just on the voicemail server
